💎 Easy and Fast Connection with Customers
🔹What is a WhatsApp Business Account?
WhatsApp Business (WhatsApp poslovni nalog) is a special version of the popular messaging app, intended for business users. It is designed to allow small and medium-sized business owners to easily and quickly connect with customers, with an official presence on the WhatsApp platform.
In practice, this means you get tools tailored for sales and customer support – from a business profile with your data, through a catalog of products or services, to automated welcome messages and quick replies.
Brief history: The WhatsApp app was launched in 2009, and already in 2014, it was acquired by Facebook (now Meta) for an impressive $19 billion.
The WhatsApp Business app itself appeared in 2018 to meet the needs of entrepreneurs for direct communication with customers.
Since then until today, it has recorded enormous growth – reaching 200 million monthly active users by mid-2023 (which is four times more than the 50 million it had in 2020). This figure clearly tells us that companies worldwide are embracing WhatsApp as a key communication channel.
Why is WhatsApp Business important for sales? First of all, your customers are already there. Every day, about 175 million people worldwide send a message to a business via WhatsApp – from product inquiries, to support, to ordering.
Also, communication via WhatsApp is proven to deliver results: according to research, introducing WhatsApp communication can speed up customer service by 225% and increase sales by about 27%.
Many companies, from small local shops to global brands, have used WhatsApp Business to improve customer relationships and boost sales.
Essentially, a WhatsApp business account represents a free tool that allows you to be where your customers are, to have a two-way conversation with them in real-time, and to be at their service on a platform where they feel comfortable. In the following sections, we will explain how to launch this tool and utilize its full potential.

🔹 How to open a WhatsApp Business account?
Opening a WhatsApp Business account is a simple process that you can complete in a few minutes. Below is a detailed step-by-step guide:
-
-
Download the WhatsApp Business app: On your phone, find the WhatsApp Business app on the Google Play Store (for Android) or the Apple App Store (for iPhone). The icon is similar to the regular WhatsApp, but with the letter B on a green background. Download and install the application.
-
-
-
Launch the app and accept the terms of service: After installation, open WhatsApp Business. You will be greeted by the terms of service screen – review them and tap Agree to continue.
-
-
-
Verify the business phone number: Enter the mobile phone number you want to use for your business WhatsApp account. Note: It is recommended to use a separate number reserved for business purposes, in order to separate private from business messages. WhatsApp will send you an SMS verification code (or offer the option to call you and dictate the code). Enter that code into the application for verification.
-
-
-
Set up the business name: Once the number is confirmed, the application will ask you to enter your business name. This name will be visible to your contacts, so use the official name of the company or brand. Choose carefully – the name of the business profile can only be changed a limited number of times over a certain period of time. After entering the name, select the appropriate category (e.g. Retail, Services, Restaurant etc.) that describes your business.
-
-
-
Import contacts (optional): WhatsApp Business can automatically recognize contacts in your phone’s address book who use WhatsApp. Initially, you will probably be contacting existing clients whose numbers you already have, so you can allow the app access to your address book. (This option can also be changed later in privacy settings.)
-
-
-
Save backup (optional): If you have previously used regular WhatsApp on that number and backed up conversations to Google Drive or iCloud, you will be offered to restore the conversations. This is not necessary for a completely new business account, but if you are switching from a personal to a business account and want to keep some conversations, you can restore them.
-
-
Start profile setup: Congratulations – you now have an active WhatsApp Business account! The application will automatically guide you to the business profile settings menu (or you can later go to Settings → Business tools → Business profile). There you will enter details about your business (description, address, working hours, email, website, etc.) and set a profile picture. We cover how to best optimize the profile and utilize other features in the next section.
After successfully opening the account, you are ready to tell the world (and above all, your clients) that you are available on WhatsApp. Before you rush to send messages, take the time to properly set up your profile and configure all the useful options – this will leave a professional impression on your clients right from the start.

🔹 How to set up an account for maximum results
For your WhatsApp business account to truly shine and deliver maximum results, it is crucial to set it up correctly and utilize all available functionalities. Here is everything you need to optimize:
-
-
Complete business profile: The profile on WhatsApp Business is your company’s virtual business card. Go to Business Profile settings and fill in every detail:
-
-
Profile photo: Post your company logo or a recognizable photo that represents your brand. This increases recognition.
-
-
-
Business description: Briefly describe what you do and what you offer. Be clear and concise – the first sentence should attract attention (e.g. “Luxury custom-made cakes – sweeten your special moments!”).
-
-
-
Contact information: Add the address of your premises/office (if relevant), email address, and website. The more information you provide, the more legitimate you appear. Research shows that customers trust an incomplete profile less – e.g. without an address or website.
-
-
-
Working hours: Enter the days and hours when you are available for communication. This helps clients know when they can expect a response. If you have periods when you are not online, you will see how to set up automated messages to inform them (see below).
-
-
Category: Check that you have selected the correct business category (you chose this during registration, but it can be changed). This also helps with visibility in potential WhatsApp searches.
-
-
-
-
Product/Service Catalog: Use the Catalog feature in WhatsApp Business to create a digital showcase of your products or services. Here you can add pictures, descriptions, prices, and product codes. The Catalog allows your contacts to view the offer directly in the app, without going to the website. Imagine it as a mini online store within the chat. This option is extremely useful – over 40 million people look at a business catalog on WhatsApp every month, which means customers want to see what you offer on the spot. By adding items to the catalog, you make it easier for the client to find information and lay the foundation for faster sales.
-
-
-
Automated messages: WhatsApp Business offers automation options that will save you time and improve the user experience:
-
-
Greeting message: This is an automatic message sent when someone messages you for the first time (or again after 14 days of inactivity). Use it to warmly greet the client. For example: “Thank you for contacting [Business Name]! We are here to answer all your questions. How can we help?”. A short, kind message will leave a good first impression and show that you appreciate them reaching out.
-
-
-
Away message: If a client writes to you when you are unavailable (say late at night or on Sunday), WhatsApp Business can send an automatic reply informing them that you will get back to them soon. Example: “Thank you for your message! Our team is currently offline, but we will get back to you in the morning after [time].” This sets expectations and prevents the client from being disappointed by silence.
-
-
Quick replies: These are pre-prepared messages for frequently asked questions or common situations. You can define short commands (e.g. /price or /address) which, when typed into the chat, automatically expand into a full message (e.g. “Our price for that product is…”, or “We are located at the address…”). This feature is invaluable for instantly delivering accurate information, instead of typing it all out every time. Think about which questions you often receive and create quick replies for them (delivery, price, delivery time, ordering method, etc.).
-
-
-
-
Labels for contacts and chats: As your base of WhatsApp conversations grows, using labels will help you organize communication. WhatsApp Business allows you to tag individual chats, e.g. as “New lead”, “Order in progress”, “Potential client” or “Follow up later”. These labels are visible only to you, and they help you filter conversations and quickly see who is who. For example, you can easily filter all chats labeled “VIP client” when you want to send them a special offer. Grouping contacts by level of interest or status in the sales process will allow you to address them more efficiently and relevantly.
-
-
-
Short Link for contact: Within the business tools, there is also the Short Link option. This is a unique link (usually in the format wa.me/yournumber) through which people can directly start a chat with you. Share this link on your website, social networks, email signature – wherever relevant. By clicking on it, the user automatically opens a WhatsApp conversation with your business account, which shortens the path to the first “Hello!” from a potential client.
-
-
-
Integration with Facebook/Instagram profile: If you have a Facebook page or Instagram profile for your business (and you probably do), connect your WhatsApp contact there as well. Facebook has an option to display a “Send message via WhatsApp” button on the page, which can bring followers directly into a WhatsApp chat with you. Similarly, on your Instagram business profile, you can list WhatsApp as a contact option. This unifies your communication channels – a client might see an ad on Instagram, but reach out with a question on WhatsApp because it’s easier for them to chat there.
-
-
Checking all settings: Review other options in the Business tools menu: you can create a profile on the WhatsApp catalog webpage, set the notification tone, view statistics (number of messages sent, delivered, and read). Make sure all important features are activated and customized to your business.
A thoroughly set up WhatsApp business account leaves an impression of professionalism and instills trust in clients. When a potential buyer opens a chat with you and sees a nice logo, clear company name, description, and a catalog full of interesting products – know that you are already halfway to making a sale. All subsequent communications will flow smoothly with the help of automated messages and quick replies that you have prepared in advance.
